Sprint Assignment — Aviary AI (2025-12-26)

Overview

During the ^[1], Aviary AI was formally assigned to Sebastian Gant as account lead. The client has a fast-paced timeline and a complex HubSpot infrastructure, making it one of the more demanding new client onboardings of the sprint.

The assignment was made after Mark and Melissa evaluated team capacity and skill fit. Paul's recent HubSpot training and eShok's development fluency made them natural support picks.

Assignment Details

Scope of Work

• HubSpot infrastructure: Primary focus; described as a "pretty crazy HubSpot infrastructure." Mark will be heavily involved in the early audit and setup phase.
• Webflow site: eShok will handle front-end work. Webflow may be new to him but he was flagged as the team's strongest developer for picking it up quickly.
• A full scope of work is already built out, enabling a week-by-week delivery structure from the start.

Timeline

• Jan 5: Internal kickoff (Sebastian working from home; Mark may want client present as well — TBD)
• Jan 6: Sebastian in Rhode Island for in-person Cordwainer meeting — limited availability
• Jan 8: Road day for Sebastian

The client has a strict, fast-paced timeline. This was a key factor in assigning Sebastian rather than waiting for additional capacity.

Key Decisions

• Sebastian over Ben: Ben was considered but the team decided to keep him off given the size of both Aviary AI and PaperTube launching simultaneously.
• No Chris Breck rehire: Mark briefly floated bringing back a former contractor for HubSpot support, but the team decided to develop internal capability instead, using this engagement as a learning opportunity for Sebastian and Paul.
• Paul as HubSpot support: Paul recently completed HubSpot training and will work closely with Mark to support Sebastian on the CRM side.

Context & Notes

• Sebastian has some prior HubSpot experience but acknowledged the audit/infrastructure work will lean on Mark's expertise.
• Melissa noted she knows HubSpot "enough to be dangerous" and will also be available for support.
• Mark is expected to be more heavily involved with Aviary AI than with ^[2], which Melissa is covering.
• The Google Drive folder for Aviary AI was not yet created at time of meeting; Melissa planned to set it up shortly after.
