The meeting was kept brief because a pivotal GVA partnership meeting was scheduled for the following morning, making most Phase 2 decisions premature.
Overview
The FinWellU website launched roughly two weeks prior to this call. Overall reception is positive — Peter praised the design and confirmed the core kinks have resolved themselves. The main agenda items were: Phase 2 scoping, a registration form UX fix, onboarding/event turnaround expectations, and marketing materials status.

Phase 2 Paused — GVA Partnership
GVA is committed to taking FinWellU national and has agreed to a dollar amount. They want to announce the partnership before quarter-end (~15 days from this meeting). Their input on the resource center and company portals is critical — building those features before the GVA meeting risks having to redo them entirely. Peter's position: pause, get through the meeting, then resume with full requirements in hand.

Registration Form — "Company Website" Field
Multiple users (John, James) have been confused about why the registration form asks for a company website. The field is used internally to route registrants to their employer-specific portal. A short help-text string beneath the field will resolve the ambiguity. Exact copy to be drafted by Karly/Melissa.
Onboarding & Event Turnaround
Peter's primary concern was understanding realistic turnaround times, not capacity. Context: FinWellU sometimes needs to spin up access quickly for workforce events (e.g., a company announces 350 layoffs on a Friday for a Tuesday effective date). Agreed SLA:
- Urgent / same-day — for critical workforce events with little notice.
- Standard 3–4 days — acceptable for the majority of cases, since most event schedules are built out in January for the full year.
Future state: company reps will be able to self-manage events through a dedicated portal. Asymmetric is still researching feasibility.
Marketing Materials & Trade Show
All print materials (flyers, PDFs) are complete and delivered as editable Illustrator files. Peter has an internal contact with Illustrator access who will handle routine edits going forward. An upcoming trade show requires a new high-resolution back-screen for the booth display; this was not scoped in the current engagement. Asymmetric confirmed they can produce it from a rough sketch or by repurposing existing design elements.
Next Sync
Peter and Karly will reconnect via email Wednesday, 2026-03-19 after the GVA meeting concludes. A follow-up call will be scheduled once GVA's requirements are known.
