American Extractions Pipedrive Email Segmentation

Overview

During an October 2025 website sync, American Extractions surfaced a significant email segmentation problem in Pipedrive: company-level tagging does not propagate to individual contacts associated with that company. This caused emails to reach unintended recipients, resulting in unwanted unsubscribes. The issue highlights a structural mismatch between how American Extractions thinks about their contacts (by company) and how Pipedrive models them (as individuals).

The Problem

Company vs. Individual Contact Model

American Extractions organizes their relationships by company — when they want to exclude a segment (e.g., existing ClearMix customers), they tag the company record. However, Pipedrive treats contacts as individuals, not as extensions of their associated company.

Consequence


The Broken Email Flow

Separately, the second email in an automated Pipedrive sequence did not send. The first email went out as expected, but subsequent emails in the flow did not trigger.

Suspected cause: A configuration issue in the automation flow, not a segmentation problem. Karly committed to checking with Asymmetric's automation specialist.

Workaround

Until a more automated solution is in place, Caitlin will manually tag individual contacts in Pipedrive to ensure segmentation works correctly at the person level rather than the company level.

Longer-Term

Asymmetric is building self-segmenting email flows for American Extractions, which should reduce the manual tagging burden over time. This work was in progress as of the meeting but not yet complete.


Key Insight: Pipedrive Contact Hierarchy

This issue is not unique to American Extractions. It reflects a common assumption mismatch when migrating from company-centric CRMs or spreadsheet-based contact management into Pipedrive:

Pipedrive segments on the Person record, not the Organization record. Tags, labels, or filters applied at the Organization level will not automatically filter associated Persons unless those Persons are individually tagged.
