BluePoint HubSpot Lead Sync Failure — Google Ads PMAX

Overview

Inbound leads arriving via the Google Ads PMAX landing page are not syncing correctly into HubSpot. Instead of auto-creating a contact with the prospect's details, the system requires fully manual data entry and populates the wrong email address. This was identified during the [1] November 2025 marketing review and escalated to HubSpot automation specialist Chris Ostergaard for diagnosis.

Symptoms

  1. No auto-population of contact fields. When a PMAX lead arrives, HubSpot does not automatically create a contact record. Wade must manually trigger contact creation and then copy/paste the prospect's name, phone number, and email.

  2. Wrong email address used. When the contact is created via the HubSpot sidebar, the system populates the sender field with a generic @bluepointatm.com relay address rather than the prospect's actual email address. This breaks contact identity and follow-up workflows.

  3. Google email clustering hides new leads. Gmail groups all PMAX form submission notifications under a single thread (same subject line). New leads arriving after the first are buried inside the thread, making them easy to miss entirely. The HubSpot sidebar only surfaces on the first/recognized contact in the thread.

Wade (transcript): "Instead of the email address of the prospect, it puts this email address, so I've got to manually copy and paste this to here, and not only that, but then do everything else manually, including the phone number, first name, last name, and all that."

Wade: "Everything goes into my HubSpot contacts — I can't keep stuff out of it — and then except for these, which I actually want in my HubSpot contacts."

1. Opens the lead notification email.
2. Clicks "Add to HubSpot" from the Gmail sidebar.
3. Deletes the auto-filled relay email and replaces it with the prospect's actual email.
4. Manually enters first name, last name, and phone number from the email body.

This is unsustainable at scale and risks leads being missed due to Gmail threading.
