Call Logging Workflow in HubSpot

Logging calls directly in HubSpot keeps a complete activity history on every contact record and ensures follow-ups don't fall through the cracks. The pattern below applies whether you're making outbound prospecting calls or receiving inbound inquiries.

Outbound Calls

  1. Open the contact record for the person you're about to call (or search their name in HubSpot before dialing).
  2. Click Calls → Log Call.
  3. Set direction to Outbound.
  4. Dial from your normal phone. While the call is live, type notes directly into the log entry.
  5. When the call ends, set the Outcome:
    - Connected — you spoke with the person
    - Left Voicemail — you reached voicemail
    - Left Live Message — you spoke with an assistant or colleague
  6. Save the log entry.

Inbound Calls

  1. When a call comes in, look up the caller's name or number in HubSpot while you're exchanging pleasantries.
  2. Open their contact record, then click Calls → Log Call.
  3. Set direction to Inbound.
  4. Take notes during the call; set outcome to Connected when you save.

Tip: If the caller isn't already in HubSpot, create a new contact record before logging the call so the activity is attached from the start.

Creating Follow-Up Tasks

At the end of any logged call, you can schedule a follow-up without leaving the log screen:

  1. Click the Create follow-up task option within the call log.
  2. Choose a due date and assign it to the appropriate rep.
  3. Save — the task will appear in the rep's task queue and on the contact's activity timeline.

This eliminates the need for sticky notes or separate to-do apps; everything lives on the contact record.

Viewing Call History

All logged calls appear in the Activity section of the contact record, labeled by direction (inbound/outbound) and outcome. This gives any team member a full picture of every touchpoint without asking the rep who made the call.

Integration with CallRail

For teams using [1], inbound calls routed through CallRail numbers are automatically attributed to their source (ad, keyword, campaign) and synced to HubSpot. This closes the attribution gap that exists when phone calls are tracked separately from digital conversions. Manual log entries are still useful for calls that come in outside of CallRail-tracked numbers.

Working Efficiently Across Multiple Records

When reviewing a contact list and logging calls in bulk, right-click each contact name and Open in New Tab. Work through the log in the new tab, close it when done, and you're back on the list — no need to navigate back and forth.
