Fathom & CallRail Integration with HubSpot

Two complementary tools — Fathom and CallRail — solve different parts of the call-tracking problem in HubSpot. Fathom handles video/meeting recording and AI summaries; CallRail handles inbound/outbound phone call attribution, recording, and routing. Together they close the gap between analog phone activity and digital CRM records.

Fathom

What It Does

Fathom records video calls (Zoom, Meet, etc.), generates AI summaries, transcripts, and action items, and can sync that data into HubSpot contact, company, deal, or engagement records.

Connecting Fathom to HubSpot

The integration is installed via the HubSpot App Marketplace. Once connected, Fathom receives broad CRM permissions (read/write to contacts, companies, deals, engagements, tasks).

After each call, a Sync to CRM button appears in the Fathom call view with the HubSpot icon. This is currently a manual one-click action — it is not fully automatic. Each team member must enable the sync in their own Fathom account settings.

Working with Fathom Transcripts

Fathom summaries are useful but lossy — they can miss context or misclassify action items. Best practice:

  1. At the end of each call, copy the full transcript from Fathom.
  2. Paste it into a Google Doc or shared file alongside other call transcripts.
  3. Use ChatGPT or another LLM to search across all transcripts when you need to find something said in a past call.

HubSpot also has a built-in AI assistant (top navigation bar) that can search across synced call data and HubSpot records.

Action Items Tip

Fathom captures action items more reliably when participants explicitly say "this is an action item" during the call. Items mentioned conversationally may appear only in the transcript, not the action items list.


CallRail

What It Does

CallRail is a phone number management and call tracking platform. It provides:

Phone calls are an analog gap in digital attribution. Without CallRail, you can see that call volume increased but cannot determine which campaign, ad, or keyword drove it. CallRail closes that gap — every call is tied to its source all the way back to the search keyword.

Connecting CallRail to HubSpot

Install the CallRail integration from the HubSpot App Marketplace (Settings → Connected Apps). The integration must then be linked to an active CallRail account. Once connected, call records sync into HubSpot activity timelines on contact records.

CallRail vs. HubSpot Native Phone Numbers

HubSpot can also provision phone numbers natively and record calls within the CRM. The key advantage of CallRail over HubSpot's native option is that CallRail numbers forward to your existing phone — no new device or app required. CallRail also provides richer attribution and AI analysis than HubSpot's native calling.


Logging Calls Manually in HubSpot

Even without CallRail, calls should be logged in HubSpot to maintain a complete activity record:

  1. Open the contact record (tip: right-click → open in new tab to preserve your list view).
  2. Go to Calls → Log Call.
  3. Set direction: Outbound (you called them) or Inbound (they called you).
  4. Add notes during or after the call.
  5. Set outcome: Connected / Left Voicemail / Left Live Message.
  6. Optionally create a follow-up task with a due date before saving.

This creates a timestamped activity entry on the contact record for every call attempt, regardless of outcome.
