HubSpot Outreach Sequence Setup

Overview

This article documents the structure and components of the HubSpot outreach sequence used to support live cold-calling efforts. The sequence bridges phone-based outreach with automated email follow-up, ensuring every contact point is covered regardless of call outcome.

As of the 2025-11-11 sales standup, this sequence was in progress — being built by Mark Hope with Chris — and represented the primary blocker preventing outreach launch. See [1] for context.


Sequence Purpose

The HubSpot sequence is designed to:

  1. Complement live calls — automatically send follow-up emails keyed to call outcomes (voicemail left, live conversation completed, no answer)
  2. Maintain touchpoint cadence — keep prospects engaged between calls without requiring manual email drafting each time
  3. Feed into the broader outreach workflow — once a contact is made, prospects are enrolled in the sequence to handle subsequent nurture steps

Email Templates

1. Voicemail Follow-Up

Trigger: Sent after leaving a voicemail.

Purpose: Reinforce the voicemail message in writing and give the prospect a low-friction way to respond.

Suggested subject: Just left you a voicemail — [one-line hook]

Body outline:
- Acknowledge the voicemail was just left
- State the reason for reaching out in one sentence (reference the [2] framing if appropriate)
- Include a single, clear call to action (e.g., reply or book a 15-minute call)


2. Post-Call Next Steps

Trigger: Sent after a live conversation.

Purpose: Confirm what was discussed, restate any commitments, and provide a clear path forward.

Suggested subject: Great speaking with you — next steps

Body outline:
- Thank the prospect for their time
- Briefly recap the key point(s) discussed (pain point surfaced, goal identified)
- Restate the proposed next step (e.g., discovery call, proposal review)
- Include calendar link or direct contact info


3. General Follow-Up / No Response

Trigger: Sent when no response has been received after initial contact attempts.

Purpose: Re-engage without being pushy; reference the value proposition.

Body outline:
- Brief, low-pressure check-in
- One-line reminder of what was offered (tie to [3] if relevant)
- Invite them to opt out or reschedule


Integration with Live Outreach

The sequence is designed to work alongside Jacob's conversational call script (see [4]). The workflow is:

Call attempt
  ├── Live answer → conversational script → post-call email template
  ├── Voicemail left → voicemail follow-up email template
  └── No answer / no voicemail → enroll in general follow-up cadence

Once a contact is made, the rep enrolls the prospect in the appropriate HubSpot sequence branch manually or via a defined trigger.
