HubSpot Email Templates & Snippets Guide
HubSpot's Gmail integration provides two distinct content tools for sales outreach: Templates and Snippets. Understanding the difference helps reps build a reusable content library that keeps messaging consistent and saves time during high-volume outreach.
Templates vs. Snippets
| Feature | Templates | Snippets |
|---|---|---|
| Scope | Full email, top to bottom | A sentence, paragraph, or short block |
| Use case | Standardized, repeatable emails | Reusable inserts dropped into any email |
| Keyboard shortcut | No (select from menu) | Yes (shortcut to paste inline) |
| Example | "Thank you for speaking with me today…" | "Click here to book a meeting with me." |
Both are accessible from the HubSpot toolbar inside Gmail. To access:
- Click Compose in Gmail.
- In the HubSpot toolbar at the bottom of the compose window, click Templates for full emails.
- Click More → Snippets for reusable text blocks.
Recommended Templates to Build
These templates map directly to the [1] touchpoints:
Cold Outreach (Initial Email)
A first-touch email introducing the company and prompting a reply or meeting. Should reflect the team's established tone — review Mark's cold outreach examples before drafting.
Voicemail Follow-Up
Sent immediately after leaving a voicemail. Content is highly repeatable and well-suited to a full template. Example structure:
"Hi [Name], I just left you a voicemail — I'd love to connect about [value prop]. [Snippet: meeting link]"
Post-Meeting / Thank You
Sent after a qualification call or proposal meeting. Example opener:
"Thank you for taking the time to speak with me today…"
Website / Form Inquiry Response
For inbound leads who submit a form. Example opener:
"Thank you for visiting our website and reaching out…"
Recommended Snippets to Build
Snippets are best for phrases that appear across many different emails:
- Meeting link CTA — "Click here to schedule a time that works for you: [link]"
- Voicemail notice — "I left you a voicemail earlier today and wanted to follow up here as well."
- Value proposition one-liner — A brief, consistent description of what the company does.
- Opt-out line — "If you're not the right person for this, feel free to point me in the right direction."
Style Guidance
All templates and snippets should align with Mark's established cold outreach style. Before finalizing any template:
- Review the cold outreach email examples Mark provides.
- Match tone, length, and CTA structure to existing examples.
- Ensure the voicemail follow-up template is consistent with the finalized voicemail script.
Integration with the Sales Cadence
Templates and snippets feed directly into the HubSpot sequence enrolled via the [2]. Once contacts are synced to HubSpot, they are enrolled in a sequence that relies on these content assets at each touchpoint.
See the full cadence structure in [1].
