# CallRail Setup Meeting — 2026-04-05

Working session to configure CallRail for [[wiki/clients/current/bluepoint/index|BluePoint ATM]]. By end of call, dynamic number pool and all static office numbers were live and recording; HubSpot integration was active; GA4 integration was left pending an API secret.

## Overview

BluePoint had already created their own CallRail account and installed the mobile app prior to the call. The session walked through granting Asymmetric access, installing the tracking script via WordPress plugin, configuring all tracking numbers, and connecting integrations. All number routing was tested live via inbound calls during the meeting.

## Key Decisions

- **Dynamic pool targets the main banner number only.** Mike's direct line (`720-987-5711`) is the swap target. The pool of four `303` numbers rotates for visitors arriving from any source, enabling attribution. All other numbers on the site are static.
- **Footer numbers use static tracking numbers, not a pool.** Because footer calls are administrative rather than marketing-driven, static CallRail numbers are cheaper and simpler. Three new static numbers were created and placed in the footer.
- **Toll-free number skipped for main office.** Wade opted for a local `303` number instead of a toll-free replacement to avoid the $5/month surcharge. Consensus was that toll-free no longer carries meaningful UX value.
- **Answering service to be replaced by CallRail call flows.** Wade confirmed they are phasing out the virtual receptionist. Once done, the main office number routing will be rebuilt as a CallRail call flow.
- **Voicemail should be configured inside CallRail.** A test call revealed that CallRail's routing connects before Wade's personal phone voicemail greeting finishes playing, cutting it off. Solution is to configure voicemail directly within CallRail for all tracking numbers.

## Integrations

### HubSpot — ✅ Live

- Connected during the meeting by Wade via the CallRail integrations panel.
- Logs **all inbound and outbound calls** as activities in HubSpot.
- **Match logic:** Matches caller number to existing HubSpot contacts; creates a new contact for unknown callers.
- Confirmed working: Melissa's test calls appeared in HubSpot activity log during the session.

### Google Analytics 4 — ⏳ Pending

- Measurement ID was located and entered.
- **Blocker:** GA4 API Secret is required to complete the integration. Mark will obtain and configure this offline.

### Google My Business — ✅ Live

- Connected via the GMB integration tile in CallRail.
- Dedicated tracking number assigned (see above).

## CallRail Features Reviewed

The team walked Wade and Mike through the activity log and call detail view:

- **Activity Log:** Displays all inbound calls with caller ID, duration, tracking source, and lead status.
- **Call Recording:** Playback in-browser or download as MP3.
- **Transcripts:** Automated text transcription available on each call record.
- **Lead Qualification:** Thumbs up / thumbs down on each call for quick triage.
- **Tags:** Custom labels (e.g., "Traditional ATM," "Reverse ATM," "Job Seeker") for categorization.
- **Notes:** Free-text field per call for manual context.
- **Automation Rules:** Keyword-triggered automations (e.g., flag calls containing "reverse ATM") — noted as a future capability to explore.

## Issues Noted

**Dynamic number swap not visible in incognito mode**
After activating the pool and flushing the WordPress cache, the banner number was still showing the original `720-987-5711` in an incognito test window. Suspected cause: server-side or CDN caching. Needs follow-up.

**Wade's voicemail greeting cut off**
A test call to the Eastern Office number (`703-952-5858`) revealed that CallRail connects to the forwarded line before the full personal voicemail greeting plays, resulting in callers only hearing the second half. Resolution: configure voicemail within CallRail directly rather than relying on the carrier voicemail on the forwarded number.
