# Project Sync — Zapier-Square-Bookly Integration Blockers

**Date:** 2025-10-21
**Client:** [[wiki/clients/current/lamarie/_index|La Marie Beauty]]
**Type:** Project Sync

## Attendees

**Asymmetric:**
- Melissa Cusumano
- Chris Ostergaard
- Mark Hope

**La Marie Beauty (external):**
- Katie Schueller
- Lisa Frommelt
- Roxana Lopez

## Overview

Short sync to surface two active blockers preventing progress on the La Marie Beauty booking integration. The project is effectively on hold until Eshek completes service page mockups for Lisa's approval. A secondary blocker — Zapier's failure to create appointments in Square — is awaiting vendor support resolution. The call also surfaced a live booking incident caused by testing during business hours, prompting a new testing protocol.

## Current Blockers

### 1. Zapier-Square Appointment Creation Failure

The Zapier automation successfully handles earlier steps (customer creation, event lookup) but fails at the final step: creating the appointment in Square.

- **Status:** Zapier support ticket open; awaiting resolution.
- **Context:** Chris has full Square permissions and has enabled all required settings for online appointments and staff eligibility.
- **Workaround under exploration:** Manually exporting service IDs and variations, then using AI to map fields as an alternative routing approach.

### 2. Eshek's Service Page Mockups Delayed

Eshek's work on service page mockups is paused while he stabilizes the "American Extractions" launch. **These mockups are the primary project blocker** — Lisa must approve the layout before the Bookly integration can proceed.

- **Scope:** Eshek will produce a mockup for the "Vampire" service page. This service was chosen because it has more options than a simple two-variant service, making it a robust test case for the dynamic click-to-change-options layout Roxana and Lisa want.
- **Expected timeline:** A few days after Eshek resumes (estimated 1–2 days of actual work).
- **Dependency chain:** Mockup → Lisa approval → Bookly integration implementation.

## Incident: Live Booking During Testing

During testing of Chris's Square availability settings, Chris was inadvertently left publicly bookable for approximately one hour during business hours. A real client booked a Botox appointment with him at 4:45 PM the same day.

**Resolution:**
- Chris disabled his availability immediately upon discovery.
- Katie's front desk will contact the client to reschedule.

**New Protocol:** All future Square availability tests must be conducted **outside of business hours**.

## Key Decisions

- Eshek's mockups take priority over the Zapier-Square debugging work.
- Bookly integration will not proceed until mockups are approved by Lisa.
- Testing in live Square environment is restricted to off-hours going forward.

## Action Items

| Owner | Action |
|---|---|
| Chris | Await Zapier support response on Square appointment creation failure |
| Chris | Conduct all future Square availability tests outside of business hours |
| Katie | Have front desk contact the client who booked with Chris to reschedule |
| Melissa | Follow up with Eshek on mockup progress; share with team upon completion |

## Next Meeting Trigger

No fixed next meeting scheduled. Melissa will share Eshek's mockups with the team as soon as they are ready, which will unblock the next phase of work.
