# Citrus America HubSpot Form & Field Updates

A set of HubSpot configuration changes approved during the March 2026 marketing sync to improve data quality, lead qualification visibility, and form-to-CRM field mapping. A dedicated HubSpot review call was scheduled for **March 19th** to go deeper on the full setup.

## Sales Qualification Tab

A new **"Sales Qualification Questions"** tab was added directly to HubSpot contact records. Rather than a pop-up or embedded form, the tab lives at the top of the contact view alongside other standard tabs, giving the sales team a single, clearly separated location for qualification data.

- **Status:** Live. Miriam confirmed she could see it in HubSpot immediately after the call.
- **Scope:** Applied at the contact level (not the company/brand level), which was the agreed approach.
- **Next step:** Miriam planned to click through the qualification flow in HubSpot and flag any issues before the March 19th call. The lead scoring formula (how individual field responses roll up into an overall qualification rating) was still pending input from the client.

## Website Form Field Alignment

HubSpot will not map form submissions correctly if the dropdown values on the website form do not exactly match the field options configured in HubSpot. Two fields required updates:

### Market Segment

- The website contact form's "Market Segment" dropdown will be updated to match HubSpot's current option list exactly.
- Red-highlighted categories (deprecated segments) will be **removed** from the dropdown so they are no longer selectable by new visitors.
- The list was reviewed and intentionally kept detailed — Brian confirmed the granularity was deliberate and that it had already been trimmed. Options will be displayed alphabetically.

### How Did You Hear About Us?

- This field will similarly be updated on the contact form to match HubSpot's dropdown values exactly, ensuring clean data mapping on submission.

## Contact Data Migration for Deprecated Segments

Removing deprecated "Market Segment" categories from the form does not automatically reclassify existing contacts who were tagged with those values.

**Decision:** Existing contacts currently assigned a deprecated Market Segment category will be migrated to **"Other"** to preserve data integrity and avoid blank/null segment fields.

- This was described as a "first step" — further refinement of those contacts' segmentation can happen in a future pass.

## Disqualified Contact Handling

**Decision:** Contacts marked as "Not Interested" (disqualified) will **remain as marketing contacts** and continue receiving newsletters and other marketing communications.

- They will only be removed from the marketing contact list if they **actively unsubscribe**.
- No automated workflow will strip their marketing contact status upon disqualification.
- Rationale: Keeping them in the nurture flow preserves the possibility of re-engagement; unsubscribe is the natural exit point.
