# Fathom Integration with HubSpot

Fathom records and transcribes video calls, then surfaces AI-generated summaries and action items. Connecting it to HubSpot ensures call notes land in the CRM rather than staying siloed in Fathom's own dashboard.

## Current State of the Integration

Fathom has a native HubSpot integration available in the HubSpot App Marketplace. Once connected, it is granted permissions to read and write to contacts, companies, deals, tasks, and engagements.

The integration does **not** automatically push every call into HubSpot. Syncing is currently a **manual, per-call action**:

1. Open the call recording in Fathom.
2. Click **Sync to CRM** (the HubSpot icon appears next to the recording).
3. Fathom pushes the AI summary and relevant metadata to the associated HubSpot record.

This is low-friction but requires intentional action after each call. There is no "sync all" bulk option at this time.

> **Evidence:** BluePoint ATM had already connected Fathom to HubSpot on their own. During the review session, Wade demonstrated the Sync to CRM button and noted it was manual but straightforward. — [[clients/bluepoint-atm/index]]

## What Gets Synced

According to the Fathom marketplace listing, the integration can sync:

- AI-generated call summaries → HubSpot deal properties or engagement records
- Action items flagged during the call
- Call participants (matched to existing contacts by email)

**Note:** Fathom's AI summary captures the gist of a call but can miss context. The full transcript is more reliable for detailed recall. A recommended practice is to copy the full transcript into a Google Doc or similar store and use an AI tool (e.g., ChatGPT) to search across multiple calls later.

## Setup Steps

1. **Connect the app** — In HubSpot, go to **Settings → Connected Apps** and search for Fathom. Authorize the connection.
2. **Verify permissions** — Confirm Fathom has read/write access to contacts, companies, deals, tasks, and engagements.
3. **Enable sync per user** — Each HubSpot user who uses Fathom should open a call recording and confirm the Sync to CRM button is visible and functional. A logout/login may be required after initial connection.
4. **Sync calls** — After each recorded call, open the Fathom recording and click **Sync to CRM**.

## Locating Synced Notes in HubSpot

Once synced, call summaries appear in the **Activity** timeline of the associated contact or deal record. HubSpot's built-in AI assistant (the chat icon in the top navigation) can also be used to search across synced call notes — useful for finding something discussed weeks ago without manually scrolling through records.

## Limitations & Workarounds

| Limitation | Workaround |
|---|---|
| Sync is manual per call | Build a habit of syncing immediately after hanging up |
| AI summary can miss nuance | Copy full transcript to a shared doc; use ChatGPT to search across calls |
| Fathom is video-call focused | For inbound/outbound phone calls, use [[knowledge/hubspot/callrail-integration]] instead |
