# Quarra Microsoft Email Integration

## Overview

Quarra is planning to integrate Microsoft Outlook with Salesforce to automatically log email correspondence against records. This integration was identified as a key lever for improving user adoption — removing the manual burden of copying and pasting emails into Salesforce, which currently means written correspondence is not being reliably cataloged.

Karly (Asymmetric) is leading the implementation and will send Quarra information on how the Outlook/Inbox integration works before the next call.

## Problem Being Solved

Currently, Quarra users are not consistently logging email correspondence in Salesforce. The manual copy-paste workflow creates friction that leads to gaps in the activity record on leads and opportunities.

> "No one is effectively cataloging written correspondence in Salesforce, and I think that would help." — Lincoln Durham

This also has downstream consequences: when an opportunity is won and handed off to a Project Manager, the PM cannot easily review the full communication history in the project object.

---

## Proposed Solution

Connect Microsoft Outlook (Inbox) to Salesforce so that emails are automatically associated with the relevant Salesforce records (leads, contacts, opportunities).

**Key benefits:**
- Eliminates manual data entry for email logging
- Keeps opportunity and project records current with minimal user effort
- Enables PMs to review pre-sale correspondence after handoff
- Reduces the barrier to Salesforce adoption across the team, including the Quarra Italia users

> "Instead of having to go back and forth and copy and paste it, it automatically does it, so it's a lot easier." — Karly Oykhman

## Implementation Plan

| Step | Owner | Status |
|------|-------|--------|
| Karly sends Outlook/Inbox integration info and setup proposal to Lauren | Karly Oykhman | Pending |
| Lauren reviews and approves integration approach | Lauren (Quarra) | Not started |
| Asymmetric implements or assists with implementation | Karly / Dimitri | Not started |
| Company-wide rollout as part of broader Salesforce training | Asymmetric + Quarra | Planned (1–2 months out) |

---

## Scope Notes

- Integration will use the standard Salesforce Inbox / Einstein Activity Capture connector for Microsoft 365
- Emails will be associated with Quarra's existing Salesforce org (single instance shared with Quarra Italia — no separate instance)
- File attachments (e.g., drawings) are **not** expected to be stored in Salesforce due to storage constraints; a separate file system is already in use for those

## Relationship to Broader Automation Roadmap

The email integration is one component of a larger Salesforce automation initiative at Quarra. Once in place, it is expected to make stage-progression discipline easier to maintain — users will already be in Salesforce seeing their correspondence, reducing the effort to also update opportunity stages.
