# ClickUp Sprint 49 Migration Issues

## Overview

During the backend migration to a new ClickUp workspace configuration, automation rules failed to carry tasks forward from Sprint 49 into the new sprint. The issue surfaced during the [[meetings/2025-12-11-team-stand-up|2025-12-11 Team Stand-Up]] and required immediate manual intervention. The root cause is the concurrent operation of new backend automations (managed by the external consultant "Virtual Champions") alongside the existing live workspace.

## What Failed

The sprint-transition automation — which should automatically move incomplete tasks into the next sprint — did not fire for tasks in three specific statuses:

- **Client** — tasks awaiting client input or approval
- **Roadblock** — tasks blocked by an external dependency
- **On Hold** — tasks intentionally paused

Tasks in other statuses (e.g., In Progress, To Do) appear to have migrated correctly. The failure meant that a significant portion of active work was left stranded in Sprint 49 and was not visible in the current sprint view.

## Secondary Symptoms

Beyond the migration failure, the backend migration introduced several other anomalies:

- **Incorrect status colors** — status labels are displaying in old color schemes, causing visual confusion, particularly for team members who rely on color coding.
- **Phantom "QA" automation** — a ClickUp automation (attributed to "Virtual Champions" / "Click Bot, Automation #9") is automatically changing task statuses to "QA" when tasks move to Internal Review. This automation was not created by the Asymmetric team.
- **New status labels appearing** — statuses such as "Needs Revision" are appearing in task flows without team-wide communication, causing tasks to be missed.

## Immediate Response

- **Melissa Cusumano** manually dragged affected tasks from Sprint 49 into the current sprint on a task-by-task basis, as bulk folder migration was not available.
- The sprint folder label itself (which should read "Sprint 49") could not be updated by Melissa due to access permissions — this had previously been managed by Chris. Access needs to be granted to Melissa or Isalia for future sprint transitions.

## Root Cause Context

The instability is a known, temporary side effect of the ongoing ClickUp backend migration. The external ops team (Virtual Champions) is building new automations and layouts in the background while the team continues to operate in the current space. These backend changes are bleeding into the live workspace unexpectedly.

The full ClickUp launch — including a proper team kickoff — is expected **after the new year**, pending final sign-off from Mark.

## Action Items

| Owner | Action |
|---|---|
| Melissa / Isalia | Obtain admin access to update sprint folder names going forward |
| All team | Report any ClickUp anomalies with screenshots and automation log details in the #general or #ops Slack channel |
| All team | When reporting bugs, copy the automation log entry (shows automation name, number, and triggering condition) to help Virtual Champions identify and resolve issues post-launch |

## How to Report a Bug

1. When you notice unexpected behavior, take a **screenshot** of the task and the anomaly.
2. Open the task's activity/automation log and copy the relevant entry (e.g., "Click Bot, Automation #9 — when status changed from X, changes to QA").
3. Post the screenshot and log entry in **#general** or **#ops** on Slack.
4. Tag Melissa or Isalia for follow-up with the Virtual Champions team.
