# Outlook Email Integration with Salesforce

## Overview

The Salesforce Outlook add-in allows users to log emails from Outlook directly to the correct Salesforce record. This is particularly important when a contact is associated with multiple opportunities, as the system prompts the user to choose which record to log against rather than duplicating the activity or logging it to the wrong place.

## How It Works

When an email is sent or received in Outlook, the add-in surfaces a prompt asking whether to log the email to Salesforce. The user can:

- **Log it** — and select the specific opportunity or record from a dropdown if multiple exist
- **Skip it** — for emails that don't need to be tracked (e.g., casual scheduling messages)

This gives users granular control over what enters the CRM while keeping the activity timeline on each opportunity clean and accurate.

## Key Behaviors

- **Multi-opportunity contacts:** If a contact is tied to more than one opportunity, the add-in presents a selection dropdown so the user can route the email to the correct record.
- **Opt-in logging:** Logging is not automatic — the user confirms each time. This prevents noise from irrelevant correspondence.
- **Works from Outlook:** Users do not need to be inside Salesforce to log emails; the add-in operates within the Outlook interface.

## Setup Notes

- Each user needs the Salesforce Outlook add-in installed and connected to their account.
- Email signatures may need to be configured or manually selected on first use.
- The add-in complements (but is separate from) sending emails directly from within a Salesforce lead or opportunity record via the Activity panel.

## Recommended Practice

For teams managing contacts across multiple active opportunities (common in project-based sales like [[clients/quarra-stone/_index]]), this integration is essential for maintaining accurate activity histories per opportunity. Without it, email correspondence either goes unlogged or gets manually entered after the fact.

The recommended workflow:
1. Send or receive email in Outlook as normal.
2. When the add-in prompts, confirm logging.
3. If multiple opportunities exist for that contact, select the correct one from the dropdown.
4. The email thread is then visible in the activity timeline of that specific opportunity in Salesforce.

## Related Decisions

From the 2025-10-31 Quarra Stone Salesforce call, the team agreed to:
- Schedule a demo of the Outlook add-in for the Quarra Stone team (Lincoln + Mark)
- Use this as part of a broader push to have all sales activity — emails, tasks, calls — flowing through Salesforce rather than managed externally
