Overview
Mark demoed a custom operational app built to replace MarketSharp, walking Gina Richardson and Bob Stigsell through the full workflow: mobile site survey → auto-generated estimate → job creation → QuickBooks-synced invoice. Gina requested several enhancements before the app goes to testing. Sebastian Gant covered marketing updates including SEO service page rewrites, Microsoft Ads account audit, blog review workflow, and website chat options.
Attendees: Mark Hope, Sebastian Gant, Karly Oykhman, Avokerie Onorimuo (Asymmetric); Gina Richardson, Bob Stigsell, Brady (Madison Asbestos / AHS)
App Demo — Replacing MarketSharp
Mark demoed the current state of a custom-built operational platform designed to centralize all of AHS's workflows in one place.
Core Workflow
- Mobile Site Survey — Field techs complete a structured survey on their phone: property address, building type, year built, square footage, occupancy status, access restrictions, environmental conditions (temp, humidity, moisture), and hazard details (asbestos, mold, vermiculite, lead). Photos and video can be attached per hazard.
- Auto-Estimate Generation — Survey data is sent to the desktop app, which generates a draft estimate using configurable rules (labor hours based on square footage, hazard type, access difficulty, etc.). Office staff review and edit before approving.
- Job Creation — Approved estimate automatically becomes a scheduled job, placed on a calendar and assigned to crew members. Employees receive notifications; role-based access restricts cost visibility for field staff.
- Invoicing & QuickBooks Sync — Completed jobs generate invoices. A two-way QuickBooks sync keeps payment status current in both systems — payments recorded in QuickBooks reflect as paid in the app.
Dashboard
High-level view of revenue (configurable time range), jobs this month, outstanding AR, win rate, jobs by status, upcoming jobs, overdue invoices, and quick-action shortcuts.
App Enhancement Requests
Gina identified several features needed before the app is ready for testing:
| Feature |
Detail |
Priority |
| Voice-to-text |
For field notes during site surveys; important to Bob |
High |
| Timestamped photos |
Date + address overlay on photos, similar to the Time Mark app |
High |
| Job Notes module |
Separate mobile mode for supervisors to upload photos/notes during active jobs, linked to a specific job record |
High |
| Proposal templates |
Mirror AHS's existing templates exactly; Gina to share via Google Drive |
High |
| Role-based access |
Employees see job name, address, schedule, and crew — not cost info |
Medium |
Context on Job Notes / Vermiculite: Vermiculite jobs require photo documentation for a 55% homeowner reimbursement program. Supervisors need to be able to upload photos mid-job and have them accessible to send to homeowners.
Key Decisions
- Template integration: Mark will mirror AHS's existing proposal templates in the app once Gina shares them via Google Drive. This ensures estimate output matches proven formats.
- Test account: Mark will have the app ready for a test account by the time Gina returns from vacation (March 24). They will then sit together to review all fields, adjust estimate logic, and begin testing.
- QuickBooks integration will be connected after the core app is confirmed stable.
- Blog review routing: Send all blogs to both Brady and Bob. Bob must review anything lead-related (only lead-certified contact); Brady reviews asbestos and mold content in detail. Both should receive all blogs regardless.
Marketing Updates
SEO — Service Pages
- All service pages have been rewritten with expanded copy, focus keywords, and FAQ sections targeting AI-driven search queries (e.g., "Is lead paint dangerous if it's not peeling?").
- Pages are live; Sebastian will re-index them with Google and add focus keywords to Ahrefs for rank tracking.
- AHS already has above-average AI citation volume compared to other clients — FAQ content on blogs and service pages is a likely driver.
Website — Next Priority
- Contractor pages are the next development focus. Brady and Sebastian have already begun scoping content placement.
- March content is finalized and scheduled.
- April designs are in progress; Gina will review after returning from vacation.
Video Testimonial / Case Study
- Awaiting approval from Sarah (client contact).
- Sebastian is building a dedicated Case Study page to host the approved video.
Blog Content
- Blogs sent in the last email have not been reviewed yet.
- Sebastian will resend directly to Brady and Bob (rather than through a group email).
Microsoft Ads
- A dormant Microsoft Ads account has been billing ~$200/month. The account was set up under a former office manager (Kristen) and has not been actively managed.
- Sebastian will audit the account, export a performance report for Gina, and re-sync campaigns to match current Google Ads strategy.
Website Chat
- Current Facebook Messenger chat widget has low engagement.
- Mark and Sebastian will research alternatives, including solutions that support SMS replies, and send options to Gina.
