Marketing Handover Meeting — 2026-01-12
Overview
Contract-end handover call with Avant Gardening (Tim Stenzel) to finalize the transition of ad campaign and email marketing management. The meeting covered an active Facebook ad budget overspend, live setup of the GoHighLevel email platform via GoDaddy DNS, and a discussion of two potential future website optimization engagements.
Attendees:
- Karly Oykhman — Asymmetric Applications Group (lead)
- Melissa Cusumano — Asymmetric Applications Group
- Avokerie Onorimuo — Asymmetric Applications Group
- Tim Stenzel — Avant Gardening (client)
Key Decisions
- Ad campaigns handed over to client. Avant Gardening will self-manage the existing Facebook and Google Ads campaigns going forward. Asymmetric retains ownership of the ad accounts but Tim retains full management access; ownership transfer is available on request.
- GoHighLevel remains under Asymmetric's account until Avant Gardening communicates otherwise, mirroring the arrangement for the Meta Ads account.
- Two website optimization options to be quoted — Karly will send written proposals with pricing for both (see #Future Website Optimization Options below).
Key Issues & Resolutions
Facebook Ad Budget Overspend
- Problem: The account was spending ~$46/day against a $30/day target ($10/day × 3 ad sets: Maintenance, Garden Design, Landscaping Core).
- Root cause: A budget correction made internally by Asymmetric had not been published to the live account.
- Resolution: Karly to have the ads specialist publish the corrected budget settings immediately and verify spend returns to ≤$30/day.
"On my end, it's set to $325, but I think looking at this, it was a change that we made internally that we haven't published yet." — Karly Oykhman
Facebook Billing Notification Confusion
- Tim was receiving duplicate daily receipt emails (overlapping two-day billing windows), making spend appear higher than it was.
- Karly investigated notification settings in Meta Ads Manager but could not identify the source of duplication; the registered email address did not match Tim's.
- Resolution: Karly to follow up with the ads specialist and email Tim steps to reduce or consolidate notifications.
- Two old, closed ad accounts remain visible in the Meta interface and cannot be hidden by the client.
- Tim had previously attempted to deactivate/release them; one shows "Ad Account Closed."
- Resolution: Karly to research whether closed accounts can be permanently hidden or removed; will email Tim findings.
GoHighLevel Email Setup (GoDaddy DNS)
- A TXT record was added to the
avantgardening.com domain in GoDaddy during the call to verify the domain and enable the GoHighLevel email platform.
- The email system is now live. A draft welcome email was previewed (logo, personalized greeting via first-name merge tag, copy, project ideas section, CTA linking to the contact page).
- The before/after image section will be removed from the first email template as no content was available.
- Emails are HTML-based within GoHighLevel; Tim confirmed he can edit them with training.
Future Website Optimization Options
Avant Gardening is interested in website improvements to increase Google Ads performance but cannot commit to a full annual contract at this time. Karly will send written quotes for both options.
Option 1 — Full Website Management (~$500/quarter)
- Asymmetric takes over hosting and ongoing management of
avantgardening.com.
- Scope includes: proactive SEO (full keyword map per page), clear CTAs, lead generation improvements, and any ad-hoc edits.
- Benefit: Integrated optimization across ads and site; no dependency on the current third-party developer (who requires Tim to chase for changes).
- Status: Tim expressed strong interest but noted timing is not right yet. Karly needs to confirm GoDaddy hosting cost before finalizing pricing.
Option 2 — Dedicated Ad Landing Pages
- Build new, ad-specific landing pages hosted on
avantgardening.com but only discoverable via direct ad links.
- Pages would be keyword-matched to active Google Ads campaigns and fine-tuned to the target audience.
- Benefit: Improves click-through rate and conversion without requiring full site management; more cost-effective near-term.
- Status: Tim indicated this is the more likely near-term choice given current budget constraints.
"The idea of somebody hosting it and taking care of it is very attractive to me. And I think we're probably moving in that direction. Just maybe not quite yet." — Tim Stenzel

Context & Background
- This meeting marks the end of the active contract between Asymmetric Applications Group and Avant Gardening. Loose ends will still be resolved post-contract.
- The client's website was originally built by a third-party company that does not proactively manage it, creating friction for updates — a key driver of interest in Option 1.
- GoHighLevel and Meta Ads accounts remain under Asymmetric ownership with client management access, consistent with standard Asymmetric account policy.
