Overview
During the [1], a process gap was identified in how the Crazy Lenny's March promo tasks had been structured in ClickUp. The original setup split graphics (assigned to Andrzej) and copy (assigned to Carly) into separate tasks — a workflow designed around the previous social media specialist. With [2] now onboard as Social Media Specialist, all social asset creation (copy + graphics) has been consolidated under Roy, with Andrzej Filipiak serving as brand consultant.
Background: The Task Split Problem
Account Manager Avoke had created two separate tasks:
- Graphics task → assigned to Andrzej (design team)
- Copy/caption task → assigned to Carly (account management)
This structure caused confusion when Melissa attempted to hand the promo to Roy as a single unit. The split reflected an older workflow and is no longer appropriate now that Roy's role centralizes both copy and graphic production for social. The copy task was deleted; Roy was added as the primary owner of the consolidated promo task.
Asset Workflow
1. Social Post (Roy — Primary Deliverable)
- Roy creates the graphic and caption copy for the social media post
- Must incorporate the cooler photo provided by the client (Evan)
- Suggested visual concept: e-bike in scene with cooler featured in the foreground
- Use existing Crazy Lenny's Canva templates; maintain brand fonts and guidelines
- Andrzej has reviewed the brand assets and can advise if needed
2. Website Pop-up Graphic (Roy — Adapted from Social)
- Adapt the social graphic into a horizontal pop-up format
- Dimensions: 1050 × 615 px
- Reference examples: Andrzej's prior pop-ups are saved on the server in the Crazy Lenny's folder (Photoshop source files)
- Fine print / promotional terms must be legible on the pop-up version
- Roy may submit two variations for review
3. Email Graphic (Pending — Melissa to Confirm Monday)
- Melissa will confirm with Carly on Monday whether the email header should use:
- The new Roy-created graphic, or
- A simple product/lifestyle photo
- Raphael is handling the email template and copy in Go High Level; the graphic would be dropped in as a header image
- Historical note: Andrzej did not typically produce email-specific graphics; the design team's social or pop-up assets were repurposed as needed

ClickUp Task Notes
- The original split tasks have been consolidated into a single promo task
- Roy is assigned as primary; Andrzej is added as consultant
- The separate copy task was deleted
- Task description should include: cooler photo folder link, product/bike reference link, pop-up dimensions, brand guideline notes, and social platform targets
Key Decisions
- Consolidate copy + graphics under Roy for all social promo work going forward — the task-split model is deprecated
- Roy owns the full social asset pipeline: caption, graphic, and pop-up adaptation
- Andrzej remains available as a graphic resource for complex needs (e.g., custom photography compositing, Photoshop work beyond Canva capability)
- Email graphic approach deferred to Carly's input; Melissa to follow up Monday
