Developer has completed Specialties, Who We Treat, Approaches, and is halfway through About Us. All SEO-doc-checked pages are done to that point. Sebastian had keyword research completed but had not yet entered it into the shared doc — corrected before the call. Remaining keyword gaps: "online therapy" page and "rates/insurance" page.
Current Google Form creates a gray-area HIPAA risk: once a prospect becomes a client, their pre-intake contact data (name, email, phone, IP address) is technically PHI. The agreed approach:
- Switch to Gravity Forms (better SEO tracking, flexibility)
- Keep the form simple: name, phone/email, short message — no health-related fields
- Add a disclaimer note discouraging sensitive disclosures in the message box
- Investigate automating deletion of form entries upon client sign-on to avoid manual cleanup burden

Katie shared a reference site (Texas therapy clinic) with a layout she liked:
- Intro copy about working at the practice
- Job listings with links to PDF job descriptions (Katie is working with a lawyer on these)
- "Apply" button linking to a Google Form
This approach keeps job content on the website (SEO benefit) while allowing Indeed/LinkedIn postings to run independently. Sebastian will have the developer build it out to match.
Katie's new EHR (Jane App) has a ratings/reviews feature that sends clients a review request via email or text. The integration requires a Google Business Profile Place ID, which Katie has correctly entered. However:
- Reviews are recorded as completed inside Jane App
- They are not appearing on the Google Business Profile
- Clicking "Preview" in Jane App returns a 404 error
Sebastian will investigate. Katie can also contact Jane App support if needed. The GBP is verified and active (Katie completed the video verification request previously).
Katie's vision: a dedicated section (not a blog category) where she writes book summaries with therapeutic context and affiliate purchase links. Key design decisions:
- Separate from main blog — its own section/URL structure
- Genre filters (dropdown): Boundaries, CPTSD, Parenting, Grief, Somatic Therapy, Trauma, Substance Use/AODA, Self-Help, Workbooks
- Multi-category support — a book can appear under multiple genres
- SEO angle: target book title + "review" as keywords; not expected to compete with Amazon/Barnes & Noble but can surface for niche searches
- Affiliate links embedded in posts; Resources page can link to Book Club
Sebastian will create a separate blog checklist for Book Club posts in addition to the standard blog checklist.
Katie flagged a longer-term goal: selling downloadable content (workbooks, PDFs) directly from the site. This would require:
- Payment integration
- Automated delivery (e.g., email with download link post-purchase)
- Likely a new menu item (e.g., "Resources" or "Downloads")
Agreed this is a separate future scope of work. Noted for roadmap planning.
Sebastian will draft SEO-optimized questions (phrased for AI citation/featured snippet targeting) and add them to the shared doc. Katie will fill in the answers. Focus keywords: online therapy, rates & insurance.
