Fishbowl–HubSpot Integration Setup
Overview
Fishbowl (inventory/order management) and HubSpot (CRM) can be connected via an API integration to enable a quote-to-order workflow. The goal is to allow a won deal in HubSpot to automatically push an order into Fishbowl, eliminating manual data re-entry between systems.
This integration is planned but not yet active. As of March 2026, the HubSpot sales workflow setup is being finalized first; the Fishbowl connection will follow.
Source: Discussed in the [1] meeting.
Current State
- Fishbowl is already connected to QuickBooks (active integration).
- HubSpot and Fishbowl are not yet connected.
- The client (Citrus America) pays a recurring Fishbowl connector license (~every two years) that includes HubSpot integration capability.
- The integration has been intentionally deferred until the HubSpot CRM setup is stable enough to connect external systems.

Setup Requirements
Fishbowl Side
- Cost: Approximately $600 (one-time or per-term, billed on the Fishbowl end).
- Action required: Log in to Fishbowl to configure and retrieve the API credentials/key.
- Integration details are available on past Fishbowl invoices.
HubSpot Side
- No additional HubSpot license cost anticipated.
- Will require API configuration to push deal data (e.g., won deal, quote line items) to the Fishbowl endpoint.
Access Needed
- Fishbowl admin login to set up the API connection.
- HubSpot API access (already available via Asymmetric's existing API workflow tooling).
Why This Integration Matters
- Eliminates duplicate data entry: Sales reps close a deal in HubSpot; the order flows to Fishbowl automatically.
- Closes the revenue loop: HubSpot → Fishbowl → QuickBooks creates a single connected pipeline from lead to invoice.
- Reduces errors: Manual re-keying of order details between systems is a common source of mistakes.
Current Workaround
Until the integration is live, won deals in HubSpot are manually entered into Fishbowl by the operations team. The Serial Number field in HubSpot has been removed from the contact card view since serial/inventory tracking is handled entirely within Fishbowl.
