Salesforce Project Number Automation — Quarra

Overview

Sergei's team completed an automation that generates a project number on new Salesforce leads at the point of creation. This automation was built and tested in sandbox for the Cora Italia / Quarra account. As of the 2025-10-27 weekly call, it was ready to push to production pending final sign-off.

The launch plan was confirmed: deploy Thursday night, live test Friday during the standing Salesforce call with the client (Lincoln's team).

What the Automation Does

• Triggers on new lead creation in Salesforce
• Automatically populates a project number (prospect number) field on the lead record
• Eliminates the need for manual entry of project identifiers at the top of the funnel

Launch Plan

Rationale for this sequence: The automation is difficult to fully validate in sandbox alone. Pushing Thursday night gives a clean window before the Friday call, where the team can walk through it together with the client watching.

Testing Protocol

1. After deploy, create a new lead in the production Salesforce org
2. Confirm the project number field is auto-populated on save
3. Verify no unexpected side effects on existing lead records
4. Document result during the Friday call for client sign-off

Key Decisions

• Do not wait for a separate test call — use the existing Friday Salesforce call as the live validation session
• Sergei's team should notify Karly immediately upon deploying to production so she can confirm the environment is ready before the Friday call
• If minor glitches appear post-deploy, they are expected and acceptable given sandbox limitations; the Friday call is the safety net

Context & Related Work

This automation is part of a broader Salesforce buildout for the Cora Italia account, managed through Lincoln. A separate folder/project initiative (involving a call with Vieth) is still pending — Lincoln has not yet confirmed scheduling.

The Cora Italia account also has an outstanding payment issue for previously delivered pages. Per the 2025-10-27 call, Karly is following up with Lincoln on payment status. Future work beyond the automation launch may be gated on resolution of that invoice.
