ClickUp/Asana Workflow Integration — Communication Breakdown

Overview

The Bluepoint account has experienced recurring communication breakdowns stemming from inconsistent use of the team's ClickUp workspace. These issues surfaced prominently in the November 5, 2025 client meeting and were discussed in the [1]. The team is actively exploring a workflow overhaul, potentially integrating ClickUp with Bluepoint's internal project management tool (believed to be Asana).

Symptoms

Outdated Task Comments

Bluepoint contacts (Wade and Mike) have been responding to ClickUp tasks that the team has already closed or superseded. Because the client is not notified when work moves to a new task, they continue commenting on stale threads — creating confusion about what is actually in progress.

"All of a sudden they're back and they're responding to stuff that's like two weeks old that we've already moved on from." — Melissa Cusumano

Private / Invisible Client-Created Tasks

Wade has been creating tasks inside his own personal ClickUp dashboard rather than the shared Bluepoint workspace. These tasks are invisible to the Asymmetric team, resulting in work going undone — and client frustration when deadlines are missed through no fault of the team.

"He has created tasks, but he's put them into his own dashboard, which we don't see, so then he gets angry because we haven't done it." — Melissa Cusumano

Platform Mismatch

Bluepoint uses Asana as their internal project management tool. ClickUp is not part of their daily workflow, meaning client-facing tasks and comments in ClickUp are frequently overlooked or addressed inconsistently.

Root Cause Analysis

Factor Detail
Client PM tool Bluepoint uses Asana internally; ClickUp is foreign to their workflow
Training gaps Initial ClickUp onboarding did not account for Wade working in his personal dashboard
Task lifecycle Team moves work to new tasks without a clear handoff signal to the client
No sync mechanism No automated bridge between ClickUp (Asymmetric) and Asana (Bluepoint)

Proposed Solutions

Option 1: ClickUp ↔ Asana Integration via Zapier / Make

Automate task and comment syncing between ClickUp and Asana so that Bluepoint receives updates in their native tool without needing to log into ClickUp.

Option 2: Developer-Built Direct Integration

Have a developer (e.g., Isahaque) build a direct API integration between ClickUp and LinkedIn/Asana endpoints.

Option 3: Workflow Restructure (No Integration)

Re-train Bluepoint contacts on correct ClickUp usage (shared dashboard only, not personal), and establish clearer task lifecycle conventions on the Asymmetric side.
