BluePoint HubSpot Form Integration — Email Logging Issue
Overview
When a prospect submits the contact form on the BluePoint ATM website, an automated notification email is sent to the BluePoint team. This notification email is not being logged in HubSpot's activity feed for the corresponding contact record. The contact itself is created in HubSpot correctly, but the initial lead notification — which contains the prospect's message and form field responses — is absent from the activity timeline.
This issue was identified and discussed during the [1].
Problem Description
What Should Happen
- Prospect fills out the "Contact Us" form on the BluePoint ATM website.
- HubSpot creates or updates a contact record with the submitted fields (name, email, phone, etc.).
- An automated notification email (sent from
info@bluepointatm.com) is delivered to the BluePoint team. - That same notification email — including the prospect's message/comments — is logged as an activity on the HubSpot contact record.
What Is Actually Happening
Steps 1–3 work correctly. Step 4 fails: the notification email does not appear in the HubSpot activity feed. As a result, the initial message and context from the lead are only visible in the team's email inbox, not in HubSpot.
Business Impact
- BluePoint staff must manually forward or re-enter lead details into HubSpot to preserve context.
- The activity timeline for new contacts is incomplete, making it harder to track the full lead lifecycle.
- Follow-up workflows that depend on activity history may be unreliable.
"Basically that email we get when we get a new lead, that email should be imported into HubSpot, but it's not."
— Mike Stebbins, BluePoint ATM
Root Cause (Under Investigation)
As of the December 17 call, the root cause had not been identified. Asymmetric's Mark Hope was assigned to investigate. Likely areas to examine:
- HubSpot email integration / BCC logging: The notification email originates from
info@bluepointatm.com, not from a HubSpot-connected inbox. If HubSpot's email logging (via BCC or connected inbox) is not configured for that sending address, inbound/outbound emails from that address will not be tracked automatically. - Form submission workflow: The HubSpot form or connected CMS form may not have an action configured to log the notification email as an activity upon submission.
- Missing form-to-activity mapping: HubSpot can log form submissions as activities, but this requires the form to be a native HubSpot form or properly connected via API. A third-party form sending a notification email is not automatically tracked.

Desired End State
When a new lead submits the website contact form:
- The notification email (including the prospect's message) is automatically logged in HubSpot as an activity on the contact record.
- No manual forwarding or data entry is required by the BluePoint team.
- The full form submission content is visible in the HubSpot activity timeline alongside subsequent communications.
