Sprint 10 Workload Balancing & Task Adjustments
Overview
During the Sprint 10 kickoff meeting, the team conducted a workload review across key team members. The session was complicated by ClickUp migration issues (duplicate tasks, dropped assignees) that made the workload view partially unreliable, but the team worked through priorities and adjustments in real time. Team-by-Team Workload Summary
Jeff
Status: Overloaded — requires prioritization.
- Top Priority: Website build due Wednesday. All other tasks should yield to this.
- Flynn GoHighLevel Transfer: Pushed to Friday.
- Jeff still needs to build the required Gravity Forms before the transfer can happen.
- The client (Sam/Flynn) is experiencing double-notifications in GoHighLevel; Karly is investigating how to disable them. Pushing the date resolves both issues without client-facing impact, as Sam was not expecting a specific delivery date.
- Karly to update the due date in ClickUp.
- Additional tasks from Sam: Sam provided new feedback items; Karly will fit them into Jeff's schedule as low priority.
- Raphael as backup: Discussed but not actioned — the Flynn tasks are primarily copy edits, so Jeff remains the owner for now.
Design Team (Avoke, Raphael)
Status: Overloaded.
- Asymmetric marketing task dates were already moved out prior to the meeting, which should provide meaningful relief.
- No additional tasks planned for the design team this sprint beyond what is already assigned.
- New role for Gavin (blog imagery): Gavin will now handle blog image placeholder selection; Jeff will insert final images. This directly frees Avoke and Raphael from imagery work, redirecting their capacity to higher-value design tasks. See [2].
Eshak
Status: Clear for the week (out until Thursday).
- The team did a good job clearing his workload ahead of his absence.
- Cordwainer ongoing updates task: Eshak is caught up on all client-requested updates as of end of last week. The task is being left open as a recurring container for new requests.
- Decision: Move due date to Friday to track hours per sprint. When time tracking is reviewed, the preference is to close and recreate this task each sprint rather than let hours accumulate indefinitely on a single task.
Roy
Status: Caught up — capacity available.
- Roy completed his assigned tasks quickly, demonstrating strong throughput.
- Blocker: Waiting on Lucy to provide influencer account login. Karly expects this early in the week.
- New training: Sebastian will train Roy on the blog writing process this week. The goal is to expand Roy's role beyond social media into content writing.
- Note from Melissa: Roy should first build familiarity with clients and social before taking on full blog writing. Strong briefs will be essential when he starts writing.
- Blog imagery: Roy is a candidate to take on image searches as part of the new Gavin-led imagery workflow (Gavin places placeholders → Roy/Jeff selects and inserts final images).
Mark
Status: Light workload.
- Pima video task: Mark to review and add slides. Melissa assigned him to the task with a due date pushed to the following week.
- Didion CEO connection: Mark had a serendipitous in-person meeting with Riley Didion (CEO) at a coffee shop. Riley expressed satisfaction with the team's work and invited Mark for a site visit. Diana (Didion account contact) is on vacation this week, so follow-up will happen after her return. See [3].
